Privacy policy

HandPrinter Art treats personal information with care under POPIA and related South African law. This policy explains how we collect, use, store and protect details shared through our contact form, workshop bookings and related communication.

Information gathered for bookings and workshop admin

When you contact HandPrinter Art about a workshop, class or group session, we may collect your name, contact details, company or school name, preferred dates, venue details and information needed to plan the session properly. Where relevant, we may also record dietary notes, access needs, age group information for family or student sessions, and any instructions linked to venue setup. For invoices and records, we may hold billing details and proof of payment.

We collect information directly from you, through our contact form, by telephone notes entered into our records, and from documents you send for a booking or visit. We only take information that is needed for the service, administration and legal record keeping around that service.

How we use personal information in the studio and on site

Personal information is used to manage workshop enquiries, confirm booking details, organise studio attendance, prepare materials, set up pop-up sessions at schools or venues, and communicate about the practical side of the service. We also use records to handle accounts, keep attendance notes where needed, and maintain a history of the workshop arrangement for operational and legal purposes.

  • To plan studio, school and venue-based workshops
  • To prepare class materials and group lists
  • To issue invoices and keep financial records
  • To manage access, safety and supervision notes
  • To meet tax, legal and audit duties

Sharing details only where the work calls for it

We do not sell personal information. Information may be shared with staff members who need it to carry out their roles at HandPrinter Art, including workshop planning, studio coordination, print production support and group administration. In some cases, information may also be shared with service providers who assist with record keeping, payment processing, storage or other business functions carried out on our behalf.

If the law requires disclosure, or if a court, regulator or public authority with lawful power asks for information, we may provide the relevant records. Where a school, venue or group organiser needs attendee details for the workshop arrangement, we share only what is needed for that purpose.

Keeping records safe in the studio and office

We apply suitable technical and organisational controls to safeguard personal information against loss, unauthorised access, misuse or alteration. Access is restricted to staff who need the information for their duties. Records may be kept in digital form, on paper, or both, depending on the booking and administrative requirement.

We keep information for as long as it is needed for the purpose it was collected for, and for any period required by law, tax rules or ordinary business record keeping. When information is no longer needed, it is disposed of in a secure way.

POPIA rights and how requests are handled

You may ask whether we hold personal information about you, request access to that information, ask for correction of inaccurate details, or object to certain processing where the law allows it. You may also withdraw consent where consent is the legal basis for processing, subject to any lawful requirement that still applies to the record.

  • Request access to your personal information
  • Ask us to update details that are no longer correct
  • Object to certain processing in allowed cases
  • Withdraw consent where consent applies
  • Submit a complaint to the Information Regulator if needed

Requests should go through our contact form so we can identify the record and deal with the matter in an orderly way.

Cookies, website logs and enquiry records

Like most websites, this site may collect basic technical information such as browser type, device data, pages visited and website traffic patterns. This information is used to keep the site running properly, understand how visitors move through the pages, and improve the experience for people looking for workshop information. We do not use technical logs to identify you unless that is needed for security or administration.

If you send an enquiry, the message and any attached details form part of our internal records. Those records are treated as confidential and handled in line with this policy and our business obligations.

Operator details and policy contact point

HandPrinter Art trades through Astros Marketing (Pty) Ltd. Our printmaking workshops are based in Woodstock, Cape Town, and school or group sessions can also be arranged at other South African venues where the service is booked. This policy covers information gathered through HandPrinter Art contact channels and workshop administration tied to those sessions.

If you have a privacy question, want to exercise a POPIA right, or need clarification on how your information is used, please use our contact form. We will review the request in line with the law and our internal records procedures.
